Drivers

The driver must hold a valid UK driver´s licence.

Rental day

A Rental Day is 24 Hours from the start time.

Insurance

The driver´s insurance must extend from the time of delivery until 12.00hrs on the working day following termination. Supplier´s insurance is also available on request, additional charges apply.

Cancelled Deliveries

A charge will apply to bookings cancelled with less than 2 working hours notice. There will also be a charge applied to cancelled deliveries if the driver has started his journey to the delivery address.

Cancelled Collections

A charge will apply to collections cancelled with less than 4 working hours notice. It will also apply if the vehicle or its keys are not available when a rental company representative arrives to collect the vehicle. For prestige cars a charge will apply to cancelled collections if the driver has started his journey to the collection address.

Out of Hours

A surcharge will apply to deliveries and collections outside of normal operating hours. Working hours are defined as follows:

Mon-Fri 08.00 to 18.00
Sat 08.00 to 13.00
Sun Closed

Airports may have extended opening hours. Please ask our call centre team for more information.

Airport Supplement

A supplement will be charged for all bookings commencing from an airport location. Also a charge may apply for bookings at a non-standard airport location.

One-Way Rentals

One way rentals are available for cars and vans however, this must be advised at the time of booking as additional charges may apply.

Refuelling

Vehicles will be delivered with a full tank of fuel (excluding any used during delivery) and should be returned with a full tank of fuel. Fuel charges at standard Car hire made simple™ rates (see miscellaneous charges) will be applied where the tank is not full on return to the depot (this includes any fuel used for the collection journey back to the nearest rental branch).

All refuelling queries must be received no more than 2 months after the termination of the rental or no credits will be made.

Vehicle Damage

The driver or authorised contact will be asked to check and sign a vehicle condition report (VCR) on delivery of the car or van, and again when it is collected. It is very important that both VCR´s are checked and signed in order to avoid unnecessary disputes over vehicle damage.

De-Hire Damage

The company is responsible for the full cost of repairs or replacing the vehicle if it is damaged or stolen (and if the insurance monies are insufficient to cover the cost of repair or replacement, the customer shall pay an amount equal to the shortfall to the supplier on demand); and/or loss of income which the owner suffers and liabilities that the supplier incurs (to the owner or otherwise) whilst the vehicle is unavailable for rental due to the customer´s act, error or omission.

Traffic Offences

The driver is solely responsible for any parking, speeding, London congestion or bus-lane fines or charges incurred during the time of hire. A standard administration charge will be applied.

Lost Keys

The driver is responsible for the cost of replacement keys and any loss of rental whilst the vehicle is out of use as a result of lost keys.

Grace Period

On the day of termination there is a 59 minute grace period, during which the booking can be terminated without incurring the cost of an extra day´s rental.

Overseas Travel

Rental vehicles can be taken abroad but only with the prior written permission of the rental supplier. There is a charge for this service and the cost is available from the supplier on application.

Paying for your Vehicle

Invoices are despatched once the booking has been terminated. For extended rental, interim invoices will be issued every 28 days. Payment terms are within 20 days of the invoice date.

Refuelling Error

In the event of a driver refuelling a vehicle with the wrong fuel, any repairs and associated costs will be the responsibility of the customer. An additional invoice will be issued.

Government Surcharge

A surcharge of 95 pence per rental day is applicable on all rentals. Government legislation requires all daily rental companies to apply this charge to cover new vehicle registration fees and road fund tax. This charge is subject to VAT.

Fuel

Fuel is currently charged at £1.36 per litre (subject to change).

Airport Surcharge

The airport surcharge is 15‰ of the total rental cost excluding any other miscellaneous charges.

24-Hour Call-Out Charge

Service subject to availability. This facility must be set up in advance and a password confirmed. The supplier will ensure an office is open, but your driver will need to collect the vehicle – delivery is not available.

Aborted Delivery

Cars and Vans £25.00

Where a vehicle is cancelled with less than 2 working hours notice.

Aborted Collection

Cars and Vans £25.00

If the vehicle is not available to be collected when you have requested it you will also be charged for each extra days rental until the vehicle is successfully collected.

Excess Mileage

All bookings of 28+ days and pre-contract bookings are subject to a mileage cap and excess mileage charges. These are as follows:

Miscellaneous Charges

Damage Waiver

Vehicles must be covered by fully comprehensive insurance. Customers normally cover rental vehicles on their own policy. However supplier cover can be arranged subject to driver qualification.

The additional daily charge depends on the vehicle group.

Congestion Charge

Drivers of Car hire made simple™ Car and Van Rental vehicles will be liable to pay the £8 congestion charge if travelling within the charge zone. If a driver fails to pay the charge, a penalty fine of £120 will be issued, which will reduce to £60 if the fine is paid within 14 days (subject to change). The zone is operational 7.00am – 6.30pm Monday to Friday excluding Bank Holidays.

Additional Drivers

£3.50 a day if using suppliers insurance (subject to customer insurance qualification).

Administration Charges

£25.00 (for the processing of any parking, speeding, London congestion or bus lane fines/charges incurred during the rental.

All charges are exclusive of VAT.
